Introduction

This policy states how we, VIY, collect, handle and process data when you visit our website. It lists the types of information that we collect, how we collect it, who we share it with and how we store it. It also states your data protection rights and the complaints procedure.

If you are an employee, contractor or otherwise engaged in work for us or applying to work for us, a separate privacy notice applies to you instead.

The personal information that we collect from the VIY website

We currently collect and process the following information:

  • Full name
  • Email address
  • Telephone number
  • Age
  • Employment status
  • Location

How we collect the personal information, why we have it and who we share it with

The personal information that we collect, receive and process is provided to us with consent by you as individuals through our contact forms. We collect the data listed above from our website to be able to contact those who share their information with us for the purposes of volunteering with us, working with us, nominating a project for us to consider in our operational pipeline, making contact with VIY or generally wishing to hear more about VIY. We collect this data when you:

  • Sign up to our mailing list
  • Register your interest to become a Trade Mentor
  • Register interest as, or on behalf of, a young person or youth organisation looking for opportunities to volunteer with us
  • Register interest as a company or organisation looking to partner with us
  • Nominate a project for consideration for future work
  • Complete the contact form on our Contact page

We do not share this information with anyone outside of the VIY organisation, without prior consent from the individual.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting comms@teamviy.com.
(b) We have a contractual obligation
(c) We have a legitimate interest

We collect this information so we can contact you regarding your interest in VIY and our activities for the reasons listed above, demonstrated by the act of voluntarily sharing your personal data with us.

How we store personal information

All the personal information shared through our website with user consent is stored securely on password-protected user accounts by VIY. We store data for three years, after which time personal data is pseudonymised. Then, after six years, personal data is anonymised.

You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing
You have the right to object to the processing of your personal information in certain circumstances.

You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
